Booking Fee:

A $1500.00 down payment must accompany all signed contracts to secure a booking. The Booking Fee will be deducted from the Facility Rental Fee.If the event is canceled at any time for any reason, this Booking Fee will be forfeited.

 

Damage and Cleaning Deposit:

A Deposit in the amount of $500 must accompany all final payments 60 days prior to the event.  This Deposit is refundable within 30 days after the event and upon facility inspection after event.    If damage or theft occurs to the property, grounds, buildings, vehicles, fixtures, equipment, landscaping, furniture, etc, during the event, Client will be responsible for any necessary repairs or replacements. This includes any damage caused by the Client, guests, agents, or anyone with whom the Client contracts in conjunction with this event.  The Deposit will be forfeited to The Historic Farmhouse 14 for payment of those damages.  If damages exceed the amount of the Deposit, The Historic Farmhouse 14 will hold the Client responsible for additional amounts owing to restore the premises to the same or similar condition.Any and all Deposit monies available will be refunded, within 30 days after the event and will be refunded to the “issuing party” only.  Client agrees that The Historic Farmhouse 14 will is not responsible for the operation of, set up of or take down of any equipment provided by outside vendors.  Unless agreed upon and fee's are assessed. Client and/or guests shall not move any items on the farm or attach any items to the The Historic Farmhouse 14 property without prior approval.

 

Event Date Changes / Transfer Fee:

Date change requests are transferable to an alternate date for thirty days after contract signing in the sole discretion of The Historic Farmhouse 14.  After 30 days, all reservation date change requests are subject to our cancellation policy. Date change requests must be made in writing or via email to The Historic Farmhouse 14 and a response in writing must be received by the Client acknowledging and confirming the requested change.Upon receipt of written date change request, Client will be given two weeks to confirm in writing the new date selection.If a new date is not confirmed within these two weeks, original contract and event will be cancelled and the standard cancellation policy penalties will apply.Written confirmation signed by Client and The Historic Farmhouse 14 will act as an addendum to the original contract.

 

Client Cancellation Policy:

Cancellation must be made in writing to The Historic Farmhouse 14 and a response in writing must be received by the Client acknowledging and confirming the cancellation.

 If a cancellation is made, Client is responsible for the following: 

Cancellations made any time before the event will result in forfeiture of the Booking Fee.

Cancellations made within 60 days of the event date will result in the forfeit of the entire rental fee unless The Historic Farmhouse 14 is able to re-book the date for a comparable event. If a new event is booked, 50% of the remaining fees balance less the Booking Fee will be refunded to issuing party. Any form of refund is refunded only to the issuing party.  Fees cannot be transferred, sold, auctioned or gifted to any other person.  The Historic Farmhouse 14 is not responsible for reimbursement of items purchased by Client in association with the scheduled event such as insurance, vendor or service charges, equipment rental charges, permit or licensing, etc.

 

Insurance:

Client shall purchase and maintain Special Event Liability insurance coverage with limits of not less than $1,000,000 per occurrence, $3,000,000 General Aggregate on a combined single limit basis. Coverage to include but not be limited to: premises and operations, products/completed operations, personal injury, blanket contractual, liquor liability with limits of $1,000,000. The Historic Farmhouse 14 LLC, its agents, assigns and affiliated companies shall be included as Additional insured on a primary non‐contributory basis. A certificate of insurance evidencing such coverage shall be provided to The Historic Farmhouse 14 including actual additional insured endorsement evidencing such coverage two months prior to scheduled event.

Facility and Property Regulations

 

Catering and Alcohol:

The Historic Farmhouse 14 permits the use of outside vendors. Alcohol (beer, including kegs, wine, champagne and hard alcohol) is allowed at The Historic Farmhouse 14 with appropriate permits and licensing to be obtained by the client or caterer.  All alcohol must be served by a licensed Class 12 Bartender.  

Use of privately provided alcohol (including flasks) is not allowed.  Bar service must end no later than 30 minutes prior to the end rental time.  If Client intends to sell alcohol at the event, Client will need to contact The Historic Farmhouse 14 management for further information.No open containers beyond the control of the bartender will be allowed anywhere on the property. 

The Historic Farmhouse 14 will confiscate any uncontrolled alcohol. If any problems with alcohol arise at an event and are not quickly resolved, The Historic Farmhouse 14 may shut down said event. If The Historic Farmhouse 14 is forced to shut down the event due to non-compliance, Client’s damage deposit will be forfeited.  

 The Sheriff will be called to handle any illegal activity.

 

Rental Equipment/Storage Information:

 Client is responsible for all rental items brought into the facility or its grounds for the duration of the rental items’ stay.  Clients are responsible for the set up and take down of their rental items. Unless approved and arranged, all items brought into the facility must exit the facility at the close of the contracted rental period.  All items brought in for a rental event must be marked for identification purposes to ensure return. All rental equipment must arrive at the beginning of the rental set-up and exit the facility at the end of the rental unless prior arrangements have been made with The Historic Farmhouse 14. 

 



 

Facility Staff

The Historic Farmhouse 14 will have a facility staff person onsite the day of the event to ensure all facility related concerns are attended to efficiently and appropriately unless other arrangements have been made.A 400.00 charge will be assessed for all clean up that is left for The Historic Farmhouse 14 staff. Should you decide to pay this fee upfront; clean-up will be provided by the venue staff. Prior arrangements will need to be made prior to the event. Expectations of Client and/or Client’s agents During Active

 

Contract:

The Historic Farmhouse 14 has outlined their expectations of the Client to ensure the best event possible while at The Historic Farmhouse 14.  These expectations may be organized and delegated through Client’s vendors. The expectations include but are not limited to: 

 

  • Coordinate, deliver and unload event materials and supplies

  • Decorate the facility – indoor and outdoor

  • Set up all rental equipment brought in (this includes tables, chairs, staging, sound system, AV equipment) per rental agreement with provider

  • Coordinate event activities and transitions

  • Monitoring guest and vendor activity

  • Move, rearrange or remove rental equipment during the event if necessary

  • Take down event specific decorations – indoor and outdoor

  • Tear down rental equipment per rental agreement with provider

  • Set-Up and Take-Down of personal items.

 

The Historic Farmhouse 14 will be responsible for The Historic Farmhouse 14 table and chair set up prior to event based on diagram and layout provided by the Client.  The Historic Farmhouse 14 will be responsible for The Historic Farmhouse 14 table and chair tear down. Any items Client may bring, rent, or have delivered are Client’s sole responsibility. The Client agrees to defend and indemnify The Historic Farmhouse 14 for any loss, theft or damage of any and all items brought in and or on The Historic Farmhouse 14 property.

 

Decorating: 

Any additional decorations brought to or delivered to the farm grounds must be approved by The Historic Farmhouse 14 management at least one month prior to the event. All decorations must be removed on Sunday following event. 

 


 

Candles, flames, fireworks:

 1. Open-flame devices are allowed to be used in the following situations, provided approved precautions are taken to prevent ignition of a combustible material or injury to occupants:

  1.1. Where necessary for ceremonial or religious purposes in accordance with Section 308.3.5.

 1.2. On stages and platforms as a necessary part of a performance in accordance with Section 308.3.6.

 1.3. Where candles on tables are securely supported on substantial noncombustible bases and the candle flames are protected.

 

2. Heat-producing equipment must be approved by The Historic Farmhouse 14 staff

 

Rice, glitter, confetti, birdseed, flower petals and sparklers are allowed. 

 Appropriate clean up is required.

 

Sound Equipment:

The Historic Farmhouse 14 does provide sound system equipment. It is available upon 30 days’ notice prior to the event.

 

Gift Receiving: 

The Client agrees that The Historic Farmhouse 14 is not responsible for damage or theft of gifts brought in conjunction with an event.  The venue management will transfer cards and gifts inside the farmhouse once the reception commences. 

 

 

Restroom Facilities:

The Historic Farmhouse 14 does not have public restrooms. The restroom facilities in the Farmhouse are reserved for wedding party members only. Portable Restrooms will be provided for event guests. If the client chooses to have alternate style restrooms, that will be at the clients cost. 

 

The Historic Farmhouse:

The Farmhouse is for the use of the bridal party members only.  The Historic Farmhouse 14 has the right to discontinue access to the residence during the event if this regulation is not honored. 

 

Supervision of Children:

Many dangers may exist on farm grounds. The Client agrees to supervise all children under 16 at all times while on Farm grounds. The Client also agrees to defend and indemnify The Historic Farmhouse 14 against any and all claims, liability, damages, etc., arising from or related to any injury to or action of unsupervised children. 

 

Clean-Up and Disposal of Waste:

Client agrees that all clean-up shall be completed before leaving facility. Waste must be placed in trash receptacles, bagged and placed in a designated area. Client agrees to be charged $50/hour for excessive cleaning of grounds and Farmhouse due to abuse, negligence and/or misuse.

 

Facility Termination:

The Historic Farmhouse 14 reserves the right to terminate this agreement in the event of an emergency, physical damage to the property or other occurrence that in the sole discretion of The Historic Farmhouse 14 renders the property unsuitable or unsafe for use. This right is reserved at any time up to and including during the date of the event.  Such occurrences may include but are not limited to the following:

 

1. Acts of God, floods, storms, explosion, fires, labor troubles, strikes, insurrection, riots, acts 

 

2. Power failure or other malfunction beyond the control of The Historic Farmhouse 14 which lend the of the public enemy, or federal, state or local law, order, rule, or regulation property unfit for use. 

 

If either party is prevented from complying with any condition of this agreement, or from complying with any express or implied covenant in the agreement as a result of the foregoing, then while so prevented the condition shall be suspended and the party shall be relieved of the obligation of complying with such covenant and shall not be liable for damages for failure to comply with it. 
 

In the event that Client’s reservation and this agreement are terminated pursuant to this provision, The Historic Farmhouse 14 shall not be held responsible for any direct, indirect, incidental or consequential damages resulting from such termination including without limitation, any fees, costs or expenses incurred by Client with service providers, or equipment rentals or any third party contracts. All rental fees, booking fees and deposits will be returned in the event of such a termination.
